This Privacy Policy explains how VivoSpectra processes personal data when you visit this website, submit a business enquiry or communicate with us regarding services, partnerships or other professional matters.

2. Personal Data We Process
When you use the contact form or contact VivoSpectra by email, we may process:
- your name;
- company or business name;
- email address;
- website address, if you choose to provide it;
- the service or partnership category you select;
- the contents of your message; and
- subsequent business correspondence relating to your enquiry.
The hosting infrastructure also processes technical request data necessary to deliver and protect the website, including information such as the visitor IP address, request time and requested resource.
3. Purposes and Legal Bases
Responding to business enquiries
For most B2B enquiries, VivoSpectra processes the information you provide on the basis of its legitimate interest in receiving, assessing and responding to genuine business enquiries and maintaining professional communications.
Steps before entering into a contract
Where the person contacting VivoSpectra is themselves a prospective party to a contract and the processing is necessary to take steps at that person’s request before entering into that contract, processing may be based on the necessity of taking pre-contractual steps.
Website operation and security
Technical request and server-log data may be processed on the basis of VivoSpectra’s legitimate interest in delivering, securing, maintaining and troubleshooting the website and related systems.
Legal obligations
If a business relationship is established, certain records may also be processed or retained where necessary to comply with applicable legal, accounting, tax or other statutory obligations.
4. Required and Optional Information
The contact form marks the fields that are required. Name, company or business name, email address, enquiry category and message are required so that VivoSpectra can understand and respond to the enquiry.
The website field is optional.
If required information is not provided, VivoSpectra may be unable to process or respond to the enquiry.
5. Retention
Enquiries that do not result in a business relationship are generally retained for no longer than 12 months after the last relevant communication, unless a shorter period is sufficient or a longer period is reasonably necessary for a specific legal reason.
If an enquiry results in a business relationship, relevant correspondence and records may be retained for the duration of that relationship and afterwards for the periods required by applicable legal, accounting, tax or contractual obligations, or where reasonably necessary for the establishment, exercise or defence of legal claims.
Server and technical logs are retained according to the operational and security settings of the hosting infrastructure. VivoSpectra does not independently extend their retention unless this is reasonably necessary to investigate a technical or security incident.
6. Service Providers and Other Recipients
VivoSpectra uses Hostinger for website hosting and business email infrastructure. Hostinger may process personal data on VivoSpectra’s behalf where this is necessary to provide those services.
Personal data may also be disclosed where required by law to competent public authorities, courts or other recipients entitled to receive the information.
7. International Data Transfers
Hostinger may use processors or subprocessors located outside the European Economic Area. Where such transfers require safeguards under applicable data protection law, Hostinger states that it uses appropriate transfer mechanisms, including European Commission-approved Standard Contractual Clauses where relevant.

8. Cookies and Similar Technologies
VivoSpectra does not currently use Google Analytics, Meta Pixel or other advertising or behavioural tracking technologies on this website.
The website or its administrative and security components may use strictly necessary technical cookies or similar technologies where required for website operation, security or administration.
If non-essential analytics, advertising or tracking technologies are introduced in the future, the relevant privacy information and consent mechanism will be reviewed and updated before such technologies are used where consent is required.
9. Data Security
VivoSpectra applies reasonable technical and organisational measures appropriate to the nature of the processing and the services used in order to reduce the risk of unauthorised access, loss, alteration or disclosure of personal data.
No method of transmitting or storing information can be guaranteed to be completely secure.
10. Your Data Protection Rights
Depending on the circumstances and the legal basis of the relevant processing, you may have the right to request:
- access to your personal data;
- correction of inaccurate or incomplete personal data;
- deletion of personal data where the legal conditions are met;
- restriction of processing where the legal conditions are met;

- to object to processing based on legitimate interests.
